Transportation Manifest

A transportation manifest is a structured document that lists all scheduled ground transportation movements for an event, program, or operational period. It serves as the master reference for every trip — detailing passengers, vehicle assignments, pickup and drop-off locations, scheduled times, and routing information.

In event and group transportation, the manifest is the central coordination tool. It enables transportation coordinators, on-site staff, and providers to work from a single source of truth. Without an accurate manifest, multi-vehicle operations quickly become chaotic — leading to missed pickups, duplicated bookings, and communication breakdowns.

A well-structured manifest typically includes passenger names and contact details, vehicle type and capacity, provider assignments, pickup and drop-off addresses with notes, scheduled departure and arrival times, special requirements such as accessibility needs or VIP handling, and real-time status updates during execution.

Modern transportation management platforms generate and maintain manifests digitally, allowing real-time updates as schedules change. This replaces the traditional approach of managing manifests through spreadsheets — which are error-prone, difficult to share, and impossible to update in real time during live operations.
